The Baltimore City State’s Attorney’s Office seeks a reliable, professional Part-Time Contract Receptionist to serve as the first point of contact for the public, witnesses, attorneys, and partner agencies. This role manages front desk operations, phones, visitor intake, and administrative support in a fast-paced, mission-driven environment. The ideal candidate is calm under pressure, highly organized, and committed to confidentiality and excellent customer service.

Key Responsibilities

  • Greet and triage visitors professionally; ensure proper sign-in and direct individuals to appropriate staff/areas.
  • Answer, route, and return calls; monitor general inbox/voicemail; provide accurate information and escalate complex inquiries.
  • Verify appointments, coordinate with security as needed, issue visitor badges where applicable, and maintain daily visitor logs.
  • Follow office safety protocols; identify and escalate urgent or sensitive situations appropriately.
  • Schedule appointments, manage shared calendars, and coordinate conference room bookings.
  • Receive, date-stamp, and distribute mail and deliveries; support document scanning and basic data entry.
  • Prepare daily lists (e.g., witness check-ins, attorney visitor cues) and support courtroom calendar updates as directed.
  • Provide clear, professional, and empathetic service to the public, witnesses, victims, and partner agencies.
  • Maintain strict confidentiality and handle sensitive information with discretion.
  • Use Microsoft Outlook, Teams, Word, and Excel; enter information into office systems (e.g., case management or visitor tracking tools).
  • Assist with special projects, forms distribution, signage updates, and office readiness tasks (stocking, organizing, light set-up).

Minimum Qualifications

  • High school diploma or equivalent (Associate degree preferred).
  • 1+ year of receptionist, front desk, customer service, or administrative experience (government/legal setting preferred).
  • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel); ability to learn case management and visitor systems.
  • Excellent verbal and written communication; strong interpersonal skills with a customer-first mindset.
  • Demonstrated ability to manage multiple tasks, prioritize, and maintain accuracy in a busy environment.
  • Ability to handle confidential and sensitive information responsibly.

Preferred Qualifications

  • Experience in court, legal, law enforcement, or public sector environments.
  • Familiarity with visitor management systems or case management tools.
  • Bilingual (e.g., Spanish) or experience serving diverse communities.
  • Training or experience in de-escalation, trauma-informed customer service, or public-facing roles.

Compliance & Background Requirements

  • Must pass a criminal background check; CJIS fingerprinting may be required.
  • Adherence to all BCSAO policies, confidentiality requirements, and courthouse security protocols.
  • Eligibility to work in the United States; contractor onboarding through approved vendor(s).

Work Environment & Physical Requirements

  • On-site at BCSAO office; frequent interaction with the public and partner agencies.
  • Professional dress consistent with courtroom and government standards.
  • Work involves navigating secure areas, security screening, and responding calmly in time-sensitive situations.

Compensation

Hourly Rate: $22.00 - $27.00 per hour. Hours: approximately 3-4 hours per day, but occasionally 8 hours per day, as needed. Free parking may be available.
