The Office of the State’s Attorney for Baltimore City is seeking a highly organized, detail-oriented Administrative Secretary to support two of its units, Economic Crimes Unit(ECU) and the Older and Disabled Persons Unit(ODPU). The Economic Crimes Unit is an investigative unit which handles complex cases involving fraud, theft schemes, insurance fraud, and financial exploitation of vulnerable adults. ODPU is a public facing service and support unit as well as a prosecuting unit which involves extensive community engagement. The ideal candidate will be a reliable professional who thrives in a fast-paced legal environment and can manage sensitive information with discretion.
Primary Duties and Responsibilities:
Provide administrative and clerical support to attorneys, investigators, and supervisory staff.
Prepare, format, and proofread legal documents, correspondence, and case materials.
Maintain case files, databases, and digital records with accuracy and confidentiality.
Manage calendars, schedule meetings
Assist with intake, routing, and follow-up of investigative referrals.
Communicate professionally with victims, witnesses, law enforcement, attorneys, and members of the public. Ability to interact respectfully with vulnerable individuals, and the public.
Process incoming mail, maintain office supplies, and support general office operations.
Perform data entry, generate reports, and assist with case-related research as needed.
Requirements:
Technical Skills
Proficiency with Microsoft Office, including:
Word (document drafting, formatting and mail merges)
Excel (spreadsheets, data entry, basic formulas)
Experience with Adobe Acrobat (PDF creation, editing, redaction).
Ability to use and learn case management systems, including Judicial Dialog or similar judicial/justice databases.
Strong typing, digital filing, and document-management skills.
Experience handling financial and contractual documents
Legal & Administrative Skills
Prior experience as a legal secretary, administrative assistant, or office support professional (public-sector or legal environment preferred).
Knowledge of legal terminology, document types, and court procedures.
Ability to draft, edit, and proofread legal correspondence and filings.
Strong organizational skills with the ability to manage multiple deadlines.
Salary: $42,401 starting salary plus benefits
